Restaurant inventory management
Growth shops run the full store loop: receive with expiry, move Store → Kitchen, count and adjust, attach recipes to menu items, and deduct ingredients when a bill is paid — cancelled lines skipped.
Inventory, recipes, purchases, waste, and Insights require Growth or Scale. Starter runs the floor without a store room.
How it works
- 1. Receive delivery — Storekeeper logs qty, cost, and expiry. Optional receipt-from-photo with your vision key.
- 2. Sell and deduct — When cashier marks a bill paid, recipes reduce ingredient stock automatically.
- 3. Count and reconcile — Periodic counts surface variance; manager approves large adjustments.
- 4. Log waste — Prep trim, expiry, and plate waste feed waste reports and Insights.
- 5. Reorder — Insights lists items at or below reorder level with suggested PO qty — staff still posts the PO.
The inventory workflow myRestrox supports
Restaurants lose margin when stock lives in three places: the delivery note, the walk-in, and the till. myRestrox ties consumption to paid bills via recipes, and gives the storekeeper explicit receive, count, move, and adjust flows.
- Receive — log supplier delivery with quantity, cost, and expiry where relevant
- Move — transfer Store → Kitchen so prep pulls from the right location
- Count — physical count vs system; large variance can require manager PIN
- Adjust — post corrections with reason; not silent background magic
- Recipes — menu items deduct ingredient qty when the bill is paid
- Purchase orders — draft and post with approval when required
- Low stock — reorder levels with suggested fill quantities in Insights
What came in → what should have been consumed
Theoretical consumption comes from recipes × paid bills. Physical stock comes from receives, moves, counts, and waste logs. Insights flags recipe variance — unexplained gaps use neutral language, not accusations.
Honest limits
- No auto-receive purchase orders overnight — staff post POs and receives.
- No equipment IoT or fridge sensors.
- Starter plan does not include inventory; storekeeper role lands on profile, not a crash.
Questions
- Does inventory update when I send a KOT?
- No. Stock deducts when the bill is paid (recipe consumption). KOT is kitchen signal only.
- Can I run inventory without recipes?
- Yes, but theoretical consumption and food cost % need recipes attached to menu items.
